Submitting an export
Last Updated 10 years ago
A Text/VIP file is essentially the same thing. When doing the export to VIP it creates a text file which is then imported into VIP.
To get started you need to ensure all time entries have been calculated and that the employees have correct time entries, no missing outs or ins. The next step will then be to go to the export screen. Please note that if you work with the approve process then you will need to approve the time entries first.
Follow these steps to access the export screen, first step (1) and then step (2):
If done correctly you will see the following screen:
The first thing you should do now is “select an export batch“ to use, step (1). Once you have selected the batch, you will see that you can now select a “In-Progress Export”, Step (2). The “In-Progress Export” is simply the dates that you wish to use to export. Once you have selected the “In-Progress Export” and it loads a little bit, you will see a “Re-calculate” button appear, Step (3). Once you have pressed the “Re-calculate” button you will see that it loads a little bit and once it is done it will display the employees hours as shown in Step (4).
Once you have checked the hours and you are sure they are correct, you can click the “Submit” button as shown below:
Once you have pressed the submit button the following screen will appear:
All you need to do here is click on the “save” button. You do not need to enter a comment as this is a one step proccess which does not include the approve steps. Once you have clicked the “save” button the export will be under “Approved Exports” as shown below. You can simply just select the correct export batch run under “Approved Exports” and it will show a loading screen again:
The next step will be to create the export file.
Note: The above steps are repeated in the FAQ on how to do the actual export.
