Agri-Edu-Provision struggled with many Time and Attendance related issues regarding other clocking systems when we arrived. Since they are located on farms outside the city centre, their other clocking systems struggled to connect to them to provide them with sufficient service. So, when their devices failed to scan clockings they had to manually enter times themselves. This led to a lot of admin build up which was very time consuming

They also could not add leave entries for employees on their clocking systems, so it was difficult for their payroll to align to only their clocking times. Their previous system was also old and outdated, a system that was never updated and improved on.

Agri-Edu-Provision started seeing results immediately after implementing our NAKO Clocking System. They had a faulty overtime calculation on their previous Time and Attendance system that let them make the mistake of paying way too much overtime for their employees. We set up their new overtime payment to only come into affect once each employee’s normal hours have been filled, so that there was no way of cheating the Clock system. They had to fill their normal hours in order to get paid overtime.

When looking for report information, they were spending a lot of time searching for all the information for hundreds of employees. It can be very tiring to track every individual employee when you have such a large base of employees. We solved this problem by letting the NAKO Clock system send them automatic reports directly to their email address inboxes at the date and time they wanted that information.

They didn’t have to search for any information!

They are currently using the NAKO Enterprise Software and this has enabled them to benefit from the Wellness Module. Here they can actually predict future employee behaviour based on past history. It’s a colour coded feature that makes it easy to spot trends and patterns in employee work behaviour based on the employee’s data. This is an excellent preventative strategy because it lets managers identify problems before they occur.

For example, if an employee is coming late to work regularly it is reflected as continuous red alerts by their name, where the manager can step in and confront the employee before problems start such as the employee suddenly quitting their job, committing fraud, etc. It is also used as a bonus allocating system, rewarding good employees for their positive workplace behaviour..

They have been so impressed with the NAKO system that they are implementing the NAKO Mobile App soon. This will allow an employee to clock in from their smartphones and is handy when employees are out travelling or not at work when they should clock in.

It even adds a GPS location, showing exactly where the employee was when he/she clocked in. In this way, the employee can’t lie and say there were in one place when they were actually in another place. We promote ethical and honest workplace behaviour; this is simply another way of ensuring that employees act responsibly and in good faith.

Jimbo’s really struggled with their time and attendance system, when we arrived. If not implemented properly, a clock system can give you gray hairs long before your time. Their previous time and attendance system could not calculate employee hours correctly; it could not handle their shift set up. It even incorrectly allocated overtime payments linked to Sunday shifts and public paid holidays. It was unable to split night shifts into the required hours, and this caused incorrect payments. Your time and attendance system should save you money rather than costing you money. When working with a huge employee base, incorrect payments can add up to a large sum quite quickly.  

We decided to meet with Jimbo’s management team to see how we could help sort out their problems.We designed a customized shift set-up for them, based on their exact requirements and their issues were sorted immediately!

They requested 24-hour shift rotations, rounding each clocking to the nearest 15-minute interval. There was no task we couldn’t handle. By correcting their overtime hours (so that employee normal hours payments reflected before their overtime payments), we managed to reduce their overtime payments drastically.

Jimbo’s is also currently using our Nako Enterprise Software option. This enables them to predict employee behaviour based on past history that the system saved.

It highlights trends and patterns of employees to make it easier to identify troublesome employees. For example, if an employee has been coming in late quite frequently, the colour coded table will display this clearly and from there on, managers can speedily solve issues. It’s also a great platform to award bonuses from, for employees who have been performing well.
